How will health forms be collected?

Same as last time, we’ll be using electronic health forms. The lead booking contact will be able to generate individual URLs for each young person. These links should be sent to parents/guardians to complete. The booking contact can track who has completed their form and download copies once all are submitted.

💷 Do Cubs need spending money?

No, this is a cashless event.

🎉 Will there be an Opening and Closing Ceremony?

Yes, there will be both. There will also be an opportunity at the closing ceremony for investitures.

🧭 How many zones are there this time?

There will be 4 zones, split into two sessions: one in the morning and one in the afternoon.
Zones are paired as follows:

  • Adventure & Skill
  • Boing & World

Cubs can float between the two zones in their assigned session.

⛺ Can we camp the night before?

No, there will be no camping the night before for participating groups. Only the Core Team and EST will be on-site early to get everything set up for you.

🕘 What time can we arrive from?

Arrival is from 9:00 AM. The Opening Ceremony will begin at 10:00 AM.

📍 Where will the activities be held?

The event takes place at the Royal Welsh Showground. A site map will be shared closer to the event date.

🙋‍♂️ Do leaders need to help with activities?

Yes, we need leaders to support activity zones. Activities rely on volunteers to help run them, so please be prepared to get involved.

🧍‍♂️ Each group is being asked to provide volunteers for activity zones, but not all leaders are being allocated. Why?

That’s correct! While every group is expected to contribute volunteers to help run zones, not all leaders will be allocated roles. We’ve structured this so there’s a fair balance—some leaders will be assigned to zones, while others remain with their groups to support young people directly. This way, we maintain safe coverage both at the activities and within each group.

🏠 Do we need to bring a shelter?

No, activities have been moved to allow the use of buildings for storing kit and for lunch.

🕟 What time does the day end?

The event will close at 4:30 PM.

📏 Will there be height restrictions on activities?

We’ve reduced activities with height restrictions based on feedback, so more Cubs can take part in suitable activities.

🌦️ Will the activities be outside?

Yes, there will be a mix of indoor and outdoor activities.

🚫 Can we bring extra Cubs on the day?

No, we’re unable to accept any additional young people on the day.

🧒 We have a leader’s child who is of Beaver age. How does having them in our group affect our adult ratios?

If a leader’s child is attending and is Beaver-aged, they should be included in your group’s youth numbers. This means they do count towards your required adult-to-child ratio, so please plan accordingly to ensure your group meets the correct supervision levels.

🏅 Which badges will the Cubs receive?

All Cubs attending the event will receive:

  • The All Wales Cub Fun Day badge
  • The ScoutsCymru 100 Years of Scouting badge

🔔 Please note: Only Cubs will receive the 100 Years of Scouting badge – this is not issued to leaders.

🌟 What support is in place for children with additional needs?

If you included in your booking that a child requires 1-to-1 support, we’ve already factored this into your group’s adult ratios at the activity zones. If you have any further questions or need to clarify something, please don’t hesitate to reach out.

🧥 Lost Property
To help us return any misplaced items quickly, please ensure all Cubs have their names clearly marked on their clothing.
Any unclaimed items will be held at the ScoutsCymru office for up to 4 weeks, after which they will be donated to charity.

🛍️ We missed the merchandise sales—can we still buy anything?

Unfortunately, the initial merchandise sale window has now closed.
However, if there’s enough interest, we may be able to reopen the shop for a limited time. Keep an eye on updates—or let us know if you’re interested so we can gauge demand!

🧘‍♀️ Will there be a quiet or chill-out area?

Yes! There will be a designated quiet/chill area available for any young people who may need a break from the busyness of the day.

📍 You’ll find it located near the check-in point—it’s marked clearly on the site map.

This space is there to support anyone who may feel overwhelmed or simply need some downtime.

🚭 Where can I smoke on the day?

The designated smoking area will be located by the pigs and goats sheds. Please be respectful of this policy to ensure a safe and enjoyable event for everyone.
